Your information, handled with care.

This Vendor Privacy Notice explains what information Stratum Kairion Ultramerce LLC may collect during supplier qualification, RFQ review, vendor intake, documentation review, and related correspondence — and, just as importantly, what we do not ask you to submit.

01 · WHAT WE REQUEST

Standard vendor information for review.

At this stage we collect standard vendor information only. The intake asks for basic procurement and commercial review details; for the initial review we may also request the following, where available.

Company & contacts
Business name, location, procurement/sales contacts.
Category & role
Product/service category and supplier role.
Pricing & commercial structure
Wholesale/OEM/reseller pricing, price sheets, quotations.
MOQ, samples & lead times
Minimum orders, sample cost/availability, lead times.
Shipping & fulfillment
Ship-from, terms, dropship/kitting/returns, if applicable.
Packaging & customization
White/private label, inserts, bundle-prep, labeling.
Documentation & policy
Compliance, safety, warranty, return/defect, resale terms.
Payment & onboarding
Payment/credit terms, setup fees, onboarding requirements.
02 · WHAT WE DO NOT REQUEST

Please do not submit sensitive information.

We are not requesting highly sensitive information through the intake form. Please do not submit:

Passwords or bank login credentials
Payment card numbers or account access
Unnecessary sensitive personal information
Trade secrets not required for review
Proprietary formulas, designs, or source files
Confidential documents not requested
Customer lists or private consumer data
Employee personal records
Tax or banking documents unless specifically requested through an appropriate business process

If additional documentation is needed later, we may request it through an appropriate review process.

03 · WHAT WE COLLECT

Information you choose to provide.

During supplier qualification and procurement review, we may collect: company information (name, location, website, business type); contact details (name, role, email, phone); product or service categories; supplier and operational capabilities across supply, wholesale, dropship, OEM, white/private-label, packaging, fulfillment, kitting, returns, content, and setup support.

We may also collect commercial review information (pricing, MOQ, lead times, terms you choose to share), documentation status, and any files or attachments you upload — catalogs, line sheets, price sheets, certificates, compliance documents, and packaging specifications.

04 · HOW WE USE IT

To conduct a structured review.

Review supplier qualification and procurement fit.
Evaluate product, service, documentation, and operational readiness.
Review RFQ responses, quotations, catalogs, and commercial terms.
Communicate about review status and request further information.
Maintain business records and support internal procurement review.
05 · FILES & DOCUMENTS

Share only what is relevant.

Files you upload may be stored and reviewed to support qualification, RFQ review, documentation review, and procurement records. Relevant examples include catalogs, price sheets, specifications, certificates, safety documents, packaging specs, warranty terms, and return or defect policies. Please avoid sending sensitive personal data or proprietary materials not needed for the initial review.

06 · SHARING & SERVICE PROVIDERS

We do not sell vendor information.

We may share information only as reasonably needed to operate the review, support business administration, maintain records, or comply with applicable obligations — with internal reviewers, service providers, professional advisors, technology providers used to store and organize submissions, and government authorities where required by law. Service providers are expected to use vendor information only for the services they provide to us.

07 · RETENTION

Kept only as long as needed.

We may retain vendor information as long as reasonably necessary to complete review, maintain records, evaluate future fit, resolve questions, and comply with legal, tax, accounting, and record-keeping obligations. When no longer needed, it may be deleted, archived, de-identified, or otherwise disposed of according to appropriate business practices.

09 · NON-COMMITMENT

Submitting information does not create a relationship.

Submission does not guarantee selection, purchase commitment, exclusivity, launch participation, follow-up, or commercial engagement. Vendor intake, email, document review, quotation review, sample or onboarding discussion, or commercial discussion does not create a purchase commitment, supplier/SKU/launch approval, exclusivity, minimum-volume or forecasted-order commitment, confirmed partnership status, or contractual relationship. Any commercial relationship would require separate written agreement authorized by Stratum Kairion Ultramerce LLC.
