This Vendor Privacy Notice explains what information Stratum Kairion Ultramerce LLC may collect during supplier qualification, RFQ review, vendor intake, documentation review, and related correspondence — and, just as importantly, what we do not ask you to submit.
At this stage we collect standard vendor information only. The intake asks for basic procurement and commercial review details; for the initial review we may also request the following, where available.
We are not requesting highly sensitive information through the intake form. Please do not submit:

During supplier qualification and procurement review, we may collect: company information (name, location, website, business type); contact details (name, role, email, phone); product or service categories; supplier and operational capabilities across supply, wholesale, dropship, OEM, white/private-label, packaging, fulfillment, kitting, returns, content, and setup support.
We may also collect commercial review information (pricing, MOQ, lead times, terms you choose to share), documentation status, and any files or attachments you upload — catalogs, line sheets, price sheets, certificates, compliance documents, and packaging specifications.
Files you upload may be stored and reviewed to support qualification, RFQ review, documentation review, and procurement records. Relevant examples include catalogs, price sheets, specifications, certificates, safety documents, packaging specs, warranty terms, and return or defect policies. Please avoid sending sensitive personal data or proprietary materials not needed for the initial review.
We may retain vendor information as long as reasonably necessary to complete review, maintain records, evaluate future fit, resolve questions, and comply with legal, tax, accounting, and record-keeping obligations. When no longer needed, it may be deleted, archived, de-identified, or otherwise disposed of according to appropriate business practices.
If a vendor relationship progresses, we may request or use additional information for applicable legal, tax, payment, fraud-prevention, compliance, onboarding, agreement-review, and record-keeping obligations — such as verifying business details, confirming authorized contacts, or requesting updated records before any commercial relationship is considered.
Submission does not guarantee selection, purchase commitment, exclusivity, launch participation, follow-up, or commercial engagement. Vendor intake, email, document review, quotation review, sample or onboarding discussion, or commercial discussion does not create a purchase commitment, supplier/SKU/launch approval, exclusivity, minimum-volume or forecasted-order commitment, confirmed partnership status, or contractual relationship. Any commercial relationship would require separate written agreement authorized by Stratum Kairion Ultramerce LLC.
